What Customers See on Estimates and Invoices

Choose how the lines of an order read to your customer. You always see every hour, rate and part in the work order.

Configure

  1. Go to Settings > Documents (More > Settings > Documents on mobile)
  2. Switch on what you want:

- Hide labor hours: labor lines show no number of hours

- Hide hourly rate: labor lines show no hourly rate. If the hours and the line total are shown, the rate can still be worked out from them

- Show parts as one line: each service shows one Parts line with the parts total, with no part names, quantities, prices or part numbers

- Show labor as one line: each service shows one Labor line with the labor total

  1. Choose where they apply: Estimates only (the estimate and the approval page) or All documents (also invoices, the pay page and receipts)
  2. Tap Save Settings

The example under the switches shows a brake job the way your customer will read it.

What Never Changes

One Order

Open the work order and find Customer view under Authorization. It says whether the order follows your shop settings, and Change for this order sets options for that order alone. Use shop settings hands it back.

An order follows your shop settings until you first send the estimate or the invoice. From then on it keeps how it looked when it was sent, even if you change your settings later. Orders sent before this setting existed show every line in full.

State Rules

Some states require an invoice to list each part with its price and the labor hours with the rate. Check the rules where you work before hiding them on invoices.
